9. Online Booking and Payment Process

9.1. Contact Form Submission: Interested clients are invited to complete a pre-registration contact form available on our website. This form allows clients to specify their preferred type of Spanish lesson (e.g., individual, group, online, or in-person) and general availability.

9.2. Free Assessment Lesson/Placement Test: Clients are encouraged to schedule a free assessment lesson or placement test. This session serves multiple purposes:

  • Introduction: This face-to-face interaction allows the student and tutor to get to know each other.
  • Learning Style Identification: The tutor will discuss the student’s learning style, preferences, and goals.
  • Level Assessment: The assessment helps ensure the student is placed at the appropriate level.
  • Placement Test: For students interested in joining a Spanish Club, this test is crucial for placing them in the appropriate group.

9.3. Invoice Proposal: After matching the student with a course or club, an email will be sent with class details and an invoice proposal outlining costs, payment deadlines, and accepted payment methods.

9.4. Client’s Confirmation: After reviewing the invoice proposal, the student can confirm their acceptance by making the payment as outlined in the proposal.

9.5. Email Confirmation: After payment is processed, the student will receive an email confirming payment and providing details for the first lesson. Regular students will only receive this confirmation for the first class after payment. Subsequent payments can be checked via the online link provided in the invoice proposal.

10. Cancellation Policy

10.1. General Guidelines

  • Late Cancellations: If a student cancels or reschedules a lesson with less than 24 hours’ notice, or fails to attend, the usual lesson fee will be charged.
  • Written Notice: Notice of cancellation or rescheduling must be given in writing (email or through the academy’s online platform) more than 24 hours before the lesson. Cancellations via phone or post are not accepted.

10.2. Private Lessons

10.2.1. Single Classes: Students may book single private lessons as needed. To reschedule, students must provide more than 24 hours’ notice.

10.2.2. Monthly Memberships:

  • Fixed Schedule: For students enrolled in a monthly membership (four classes per month), a fixed day and time will be established.
  • Rescheduling: Lessons can be rescheduled within the same month with at least 24 hours’ notice. Unused lessons will be forfeited.

10.2.3. Continuation of Lessons: Students wishing to continue lessons into the next month must notify the organization or tutor of their preferred dates and times. Payment for the upcoming month’s lessons must be made before the first scheduled class; otherwise, the lesson may not be confirmed.

10.3. Spanish Clubs: If a student misses a club session, it cannot be rescheduled. They may opt to book a private lesson at an additional cost.

10.4. Tutor Unavailability

10.4.1. Alternative Arrangements: If the tutor is unavailable, an alternative lesson time will be offered. If rescheduling within the same month is not possible, the following options are provided:

  • Alternative Tutor: The student may choose to have the lesson with another available tutor.
  • Membership Adjustment: The missed lesson can be deducted from the next month’s membership invoice.
  • Refund: If neither option is suitable, the student will be entitled to a refund for the missed lesson.

10.4.2. Late Arrival: If a student arrives late, the tutor may decide whether to extend the lesson. However, this extension is not guaranteed.
